Moving house is stressful. Moving a business is harder, because the phones, the staff, the customers and the bills all keep going while you move. The good news is that almost every office move problem we see comes from one of a handful of mistakes, and all of them can be planned out.

This guide brings together our office relocation checklist, the mistakes we see most often, and the list of everyone who needs your new address. It suits a two-desk office as well as a whole floor.

Start with a plan, 8 to 12 weeks out

Most small and medium offices need 8 to 12 weeks to plan a move properly. Before the first box is packed, answer four questions:

  • When do we have to be out? Check the end date and the make-good terms of your current lease.
  • What is the budget? Include the removalist, IT, cleaning, new furniture and any downtime.
  • Who is running the move? Pick one person as the project lead, plus a “move captain” in each team.
  • What does the new office look like? Get a floor plan, check power points, data points and NBN, and decide where every desk goes.

A floor plan with numbered desks is the single best thing you can give your office removalists. The crew can then place every workstation, cabinet and box in the right spot the first time, instead of shuffling heavy furniture on Monday morning.

The office relocation checklist

8 to 12 weeks before

  • Confirm the move date and book your removalist early, especially for end-of-month and end-of-financial-year dates.
  • Book your telco and NBN connection at the new address. Internet is the item most likely to run late.
  • Ask building management at both ends about lifts, loading docks and parking for the truck.
  • Walk through the new office and plan the layout.

4 to 6 weeks before

  • Do an inventory. Anything you have not used in years should be sold, donated or recycled, not paid to move.
  • Plan the IT move with your IT provider: servers, phones, printers and backups.
  • Tell staff the date, what they need to pack and how the first day will work.
  • Order packing materials, or book a packing service if your team is flat out.

2 weeks before

  • Colour-code by department and label every box and desk with its new location.
  • Back up all data to the cloud before any hardware is unplugged.
  • Arrange storage for anything that cannot go straight into the new office.
  • Book end-of-lease cleaning for the old office.

Moving week

  • Pack personal desk items into named boxes.
  • Lock away confidential files in sealed, lockable crates.
  • Keep a box of essentials (kettle, cups, chargers, toilet paper, first aid kit) for the first morning.
  • Confirm arrival times with your removalist and your building.

After the move

  • Test phones, internet, printers and alarms before staff arrive.
  • Walk through the old office for anything left behind and hand back keys and access cards.
  • Ask staff what is not working and fix it in week one.

The six office move mistakes we see most

1. Moving with your own staff

Jim from accounting might be great at his job, but he is not trained to carry a compactus down a fire escape. A DIY office move risks injuries, workers compensation claims and damaged equipment, and you are still paying wages while your team carries boxes instead of serving customers.

2. Moving at the wrong time

Never move during your busiest trading period. Most businesses are best moving after hours or over a weekend: shut down on Friday afternoon, move over the weekend and open on Monday at the new address. We plan office moves around your trading hours, including after hours and weekends.

3. Leaving the IT until the last week

If the internet is down, the business is down. Book the new connection early, back everything up, and have your IT provider ready to reconnect the network as soon as the computers are in place. Our IT equipment moving service packs and moves computers, screens, printers and servers safely.

4. Choosing the cheapest mover

A cheap quote is expensive if the crew is late, short-staffed or careless. Delays mean paying staff to wait, and damaged computers or lost files cost far more than the saving. Check reviews, insurance and that the company uses its own trained crew.

5. Forgetting to update your address

Customers look you up online first. If Google still shows the old address, they turn up at an empty office. See the full list below.

6. No exit plan for the old office

Leases often require you to make good and clean the premises. Leave time for it, or you may lose part of your bond.

Who needs your new business address

  • Australia Post: set up mail redirection before you move.
  • ATO: update your business details online or through your tax agent.
  • ASIC: companies must update their registered address within 28 days.
  • Banks, insurers and lenders, plus your accountant.
  • Suppliers and customers: email them the date and add the new address to your email signature for a few weeks.
  • Google Business Profile, your website and social media, plus directories such as Yellow Pages and True Local.
  • Council and licensing bodies for any permits or licences tied to your premises.

Frequently asked questions

How far ahead should I plan an office relocation?

Most small and medium offices need 8 to 12 weeks. Larger offices, or moves with a lot of IT, should start earlier. Book your removalist and your internet connection first.

What is the best day to move an office?

For most businesses it is a Friday afternoon or a weekend, so staff can start at the new office on Monday with little or no downtime. We plan office moves around your trading hours, including after hours and weekends.

Do I need to tell ASIC when my business moves?

Yes. Companies registered with ASIC must update their registered office address within 28 days of the change.

Can you move our computers and IT equipment?

Yes. We pack, move and place computers, screens, printers and servers. Ask your IT provider to disconnect and reconnect the network so everything is working when your staff arrive.

Should we pack the office ourselves?

Staff can pack their own desks to save time and cost, while we pack shared areas, fragile items and equipment. Label every box with the department and new desk number.
